Managing Email Notifications

You can manage which email notifications you receive by adjusting your notifications under your User Settings.

This article explains the different types of notifications available, grouped into three categories:

  • Business Owner Notifications

  • Third-Party Notifications

  • My Company Notifications


🧑‍💼 Business Owner Notifications

Business Owner Notifications allow you to notify internal business owners who may not use Panorays due to security or internal reasons but still require updates on the assessment process.

You can add a business owner to a supplier when first adding the supplier to your environment, or you can do so when the supplier is already in your environment by editing the supplier’s information.

The Business Owner section of the Add Supplier page is located at the bottom below the “Supplier Contacts” section.

When business owners are added to a supplier, the business owner will receive notifications about this particular supplier when:

  • The supplier is added to the system

  • The supplier’s status has been changed

  • The supplier has been removed from the platform

  • A questionnaire has been sent to the supplier

  • A questionnaire has been submitted by the supplier


🔔 Third-Party Notifications

These notifications keep you updated on changes related to third-party vendors or suppliers.

Rating Updates

  • When a new supplier is added and scanned, you’ll receive an email once their Cyber Posture Rating has been generated and is available.

  • Notifications are also sent when a periodic scan is completed and a rating is updated.

Questionnaire Update

Activity related to Smart Questionnaires, including:

  • Submission and completion

  • Questionnaire results and status updates

Cyber Alert Updates

If a supplier is affected by a security breach, you'll receive:

  • A notification email with details and the news source

  • You can also find breach details on the supplier’s profile page

Questionnaire Comments

You’ll receive an email notification whenever someone leaves a new comment in a questionnaire you're involved with.

Operational Updates

  • A new supplier is added

  • A supplier’s status changes

Risk Update Notifications / Risk Drop Alerts

Subscribed users will receive an email whenever there is a change in a third party’s Risk Rating.

Default notifications include rating drops to "Poor" or "Bad".

Notifications may include:

  • New critical findings detected

  • Cyber Posture Rating drops

  • Overdue Security Questionnaire (status changed to "Expired")

  • Rating drop due to questionnaire-related issues

  • Low questionnaire scores on important questions

Reevaluation Updates

Be notified when the evaluation date has arrived and the questionnaire has been sent automatically by Panorays.

Additional timed notifications:

  • Two weeks before the reevaluation date, a reminder email is sent

  • If on the reevaluation date, Panorays is unable to send a questionnaire, a failure notification email will be sent

  • If reevaluation proceeds successfully, a status change email will be sent to users subscribed to status change notifications


🏢 My Company Notifications

These alerts relate to your own company’s security status and posture.

Critical Findings

Receive an alert when a new critical finding is discovered in your environment.
The email includes a summary and a link to view more details in your Security Profile.

Rating Drop

If there’s a significant drop in your company’s Cyber Posture Rating, you’ll receive a notification with a link to view the rating history and a breakdown of the change.

Remediation Tasks

Get alerts when evaluating companies share or complete a remediation task involving your organization.

Cyber Alert Updates

If your company was affected by a security breach, you'll receive:

  • A notification email with details and the news source

  • You can also find breach details directly on your profile page
