Panorays' Workflow Automation enables Admin users to streamline and automate the supplier approval process by defining custom rules and actions based on supplier risk data. This powerful feature reduces manual work, ensures consistency, and accelerates decision-making.
🔍 What Can You Automate?
Workflow Automation lets you create rules triggered by:
Questionnaire Ratings
Cyber Posture Ratings
Risk Ratings
Supplier Status
Business Impact
These triggers allow your team to automate actions like status updates, review assignments, and remediation task creation, based on real-time supplier data. You can access “Workflow Automation” from the settings menu.
Managing Workflows
In the Workflow Automation screen, you'll see:
A list of all existing workflows
A blue “Create Workflow” button in the top-right corner to add a new one
🔍 How to Create a Workflow
1. Choose a Trigger Type
You’ll begin by selecting the type of trigger for your workflow:
🔹 Global Trigger
Based only on the supplier’s Risk Rating
Ideal for simple, broad automation rules
🔹 High Precision Trigger
Based on Cyber Posture Rating and/or Questionnaire Rating
Allows more granular, data-driven automation
2. Configure the Trigger
For a Global Trigger:
Select the desired Risk Rating(s) that will activate the workflow (e.g., Medium, High, Critical)
For a High Precision Trigger:
Select Cyber Posture Rating and/or Security Questionnaire Rating
Define parameters such as:
Score range (e.g., 0–40)
Number of critical findings
Other relevant thresholds
3. Add Conditions (Optional)
Click “Add Section” in the Workflow Summary panel and choose “Condition” or “Action.”Conditions are optional, but they allow you to further refine when the action should occur.
Available Conditions:
Supplier Status – Trigger only if the supplier is in a specific status (e.g., Pending Review).
Business Impact – Trigger based on the business criticality assigned to the supplier. Multiple values can be selected.
Portfolios/Tags – Triggered based on a group filtered by a specific portfolio or tag.
You may add one or both conditions to a single workflow.
4. Set an Action
Once your trigger (and optional conditions) are defined, choose an Action for the system to perform automatically.
⚡ Available Actions:
Change Supplier Status – Automatically update the supplier's status (e.g., from "In Review" to "Approved").
Assign for Review – Assign an internal user to review the supplier and define a time frame for the review. Optionally, include a description.
Create Remediation Tasks – Automatically generate tasks for:
Medium, High, or Critical findings
Important out-of-policy questionnaire answers
✅ Final Step: Create the Workflow
When all components are configured:
Click “Create Workflow”
A confirmation window will appear, explaining that the workflow will be triggered whenever the Risk Rating is calculated or recalculated
Click “Create Workflow” again to finalize setup
Your workflow is now active and will run automatically based on your defined triggers and actions, and based on your time of assessment.
