Questionnaire Weights and Actions

Panorays allows you to send multiple questionnaires to a single supplier. This enables you to create different questionnaire templates for different use cases—and share the most relevant one based on your relationship and assessment needs for each vendor.


⚖️ Questionnaire Weights & Calculations

Each questionnaire template can be assigned a weight according to your internal risk methodology.

Key rules to know:

  • ✅ The combined weight of all questionnaires must always equal 100%

  • ✅ Each questionnaire contributes to the overall score based on its assigned weight


ℹ️ Informational Questionnaires (0% Weight)

Panorays supports sending informational questionnaires with a weight of 0%.

These are useful when:

  • You want to collect additional data from a supplier

  • The information should not impact the overall risk rating

⚠️ Important note

If a 0% template is the only questionnaire sent to a supplier, we recommend assigning it a 1% weight instead of 0%.

Why?

If a single questionnaire has a weight of 0%, the overall questionnaire score will always be 0.

Example:

0% (weight) × 100% (score) = 0 (overall questionnaire score)


📊 How the Overall Questionnaire Score Is Calculated

The Overall Questionnaire Score shown on a supplier’s page is a weighted average of all submitted questionnaires.

Included:

  • ✅ Submitted questionnaires

Excluded:

  • ⛔ In-progress questionnaires

  • ⛔ Expired questionnaires

Calculation logic:

Each questionnaire’s weight (%) is multiplied by its score (out of 100).

The results are then added together and divided by the combined weight (when applicable).


✏️ Can Template Weights Be Changed?

Yes! Template weights can be changed at any time—even after a questionnaire has been sent and scored.

🔄 When you update a template’s weight:

  • The Overall Questionnaire Score will be recalculated automatically


🗄️ How to Archive Questionnaire Templates

If a template is no longer needed, you can archive it. Archived templates can be reactivated at any time.

A template can be archived only if:

  • ✅ Its weight is 0%

  • ✅ It has not been sent to any suppliers

If these conditions aren’t met, you’ll see one of the following messages:

  • “This template can’t be archived because it has a weight greater than 0.”

  • “This template can’t be archived as it was used in one or more questionnaires that were sent to your suppliers.”

🔐 Permission note

Only Admin users can manage, edit, or archive templates.

This is done via the Questionnaire Templates Library.
