Internal Questionnaires

The Internal Questionnaire feature allows you to send a questionnaire to a user within your organization, in the context of a specific supplier. These questionnaires can be:

  • Weighted – Affecting the supplier's overall risk score.

  • Unweighted – Used for information gathering or auditing, with no impact on risk score.


🔍 How It Works

  1. Go to the Supplier Page
    Navigate to the relevant supplier's page and open the “Questionnaire” tab.

  2. Click “Send Questionnaire”
    This option appears in the top-right corner.

  3. Choose the Questionnaire

    • Select the questionnaire template you'd like to send.

    • Choose the relevant Relationship(s) (if applicable).

    • Set a due date.

    • You may also preview the questionnaire before proceeding.
      Click “Select Recipient(s)” to continue.

  4. Select Internal Contacts

    • Choose “Internal Contacts” to mark the questionnaire as internal.

    • Select the internal users you want to assign the questionnaire to.

    • Click “Send”.

💡To receive an internal questionnaire, you must have a registered user in Panorays. The selected internal users will receive an email notification, and the questionnaire will appear on the supplier's Questionnaire tab.


✅Managing Internal Questionnaires

You can track all internal questionnaires from:

  • The “Internal Questionnaire” tab is in the main navigation bar.

  • Under “My Questionnaires” > select “All Questionnaires” (Admins only).


Frequently Asked Questions

❓ Who can answer an internal questionnaire?All user roles can answer an internal questionnaire. Custom roles can be granted this permission.

❓ Who is considered an internal contact?Internal contacts must be active users in your organization, as listed on the User Management page.

💡Note: Business Owners are currently not supported as internal contacts. This will be available in a future update.

❓ Can I use the same questionnaire for both internal and external users?Yes – a single questionnaire template can be sent to either internal or external users.However:

  • You cannot send the same questionnaire to both internal and external users at the same time.

  • You can resend the same template to additional users (internal or external) after the original one is marked as Done or Canceled.

❓ Can I send a questionnaire to myself?Yes. All active users appear in the internal contacts list, including yourself.

❓ What email notifications are sent?

For Responders (Internal Users):

  • New questionnaire received

  • Reminders

  • Comments

  • Task assignment notifications

For Evaluators:

  • Internal questionnaire submitted

  • Comments

  • Task status updates
